How deal registration works, which quotes need it and what to watch for in public tenders.
In a public tender or a large corporate project, bidding at the standard reseller price often means losing. Deal registration is a mechanism that lets a reseller notify the brand of an opportunity and receive special pricing and protection. Used correctly, it raises both your margin and your chance of winning.
What is deal registration?
The reseller submits the customer name, product list, quantities and expected tender or order date to the brand for approval. If approved, a special unit price is set for that project and a project number, usually valid for 90 days, is issued. During that period no other reseller can obtain a lower price for the same customer.
When should it be done?
- Hardware quotes whose total exceeds 250,000 TRY
- Public sector and municipality tenders
- Opportunities where you know a competing reseller is also bidding
- Multi-line projects (servers + storage + networking + security)
Tips for a successful registration
- Write the customer correctly: register with the official name and branch details; missing information lengthens approval.
- Give product codes clearly: instead of "laptops, 40 units" write the exact product code and configuration.
- Keep dates realistic: if the tender date or order target is uncertain give a range; renewal may be requested when the period expires.
- Share competitor information: stating which competing product you face makes it easier for the brand to give special pricing.
Care in public tenders
If the technical specification points to a specific brand it should include the wording "or equivalent"; showing in a table how the equivalent product meets the specification reduces the risk of rejection. For procurement rules and the administrative specification consult your legal adviser; this article is for information only.
How does price protection work?
If another reseller requests registration for the same project, the first registering reseller's valid registration is protected. If the tender is still running when the period ends, an extension can be requested.
The process at Bayit
Fill in the deal registration form in the reseller portal; our product manager forwards it to the brand and reports the result within one to three working days. For the technical specification and equivalent product comparison you can get help from our pre-sales engineers.
Common mistakes
Opening the registration after the quote has been submitted, several resellers registering the same customer with different product codes, and forgetting to renew an expired registration are the most common mistakes. Open the registration as soon as you start preparing the quote and put the expiry date in your calendar.
